Responsibilities
The Facilities Administrative Assistant II will serve as a centralized primary point of communication between clinic personnel, City jurisdictions, outside vendors with the Facilities Technicians/Engineers and Managers. Responsible for oversight of all clinic-wide building permits; i.e. (utilities, signs, annual fire & life safety, elevators, etc.…). Time keeping (KRONOS) of Facilities staff and backup resource to the Managers. Duties also include annual vehicle registration of Company vehicles. The position is responsible for coordinating team events and the allocation of Team Dollars. Assists when required with department presentations and general department communications. Supports as needed with PO processing and coding of invoices. Assists in overall office organizing and flow processes to ensure all administrative staff are thoroughly cross-trained and able to provide adequate department coverage daily. Supports with day-to-day prioritization and dispatching of routine work requests. Assists with ensuring both lease and project files/space plans are centrally organized. Other specific duties as assigned.

Salary Range: $41,059.00 – $50,710.00 (Pay is based on several factors including but not limited to education, work experience, certifications, etc.)
Qualifications
Education
Required: Associate Degree and/or equivalent office experience in a business-related industry
Preferred: Bachelor’s Degree (optional)
Experience
Required: Minimum three to five (3-5) years business office experience in commercial real estate management and/or healthcare environment is preferable
Preferred: Solid working knowledge of centralized office operations focused on daily dispatching of repair/maintenance services in a large geographical area. Focus on delivering positive customer service to internal departments

Required: Computer skills, including Office Suite (all intermediate -advanced) Visio & PowerPoint (intermediate-advanced)
Preferred: Required intermediate-advanced skillset with entire Office Suite software.

Required: Detail oriented; Excellent organizational skills a must. Excellent communication, team player and strong interpersonal skills with various levels of management
Preferred: Ideal candidate will have worked in the commercial real estate or facilities management sector. Experience in a healthcare environment is preferred
