Responsibilities

The FAA I will serve as a centralized supportive resource to assist the existing PAOB Administrative team, Facility Managers and Maintenance Techs across all regions. Will assist with clinic building permits and space plan organizing, expense reconciliations, work order maintenance updates, customer service surveys and general filing/organizing of Facilities records and service contracts. Position will provide administrative support on-site at regional locations as needed. Other administrative duties will also involve supporting department real estate data bases and facilities presentations as needed. Supports as required with requisition processing and coding of invoices.

Assists with ensuring both lease and project files/space plans are centrally organized and kept current. Office filing as required.  Other specific duties as assigned.

Salary Range: $38,422 – $47,460 (Pay is based on several factors including but not limited to education, work experience, certifications, etc.)

 

Qualifications

Education 

Required: High School diploma or GED from an accredited program

Preferred: N/A

Experience

Required: Minimum 1-2 years direct office experience preferably in real estate management or similar industry. Experience in healthcare environment is preferred but not required)

Preferred: Solid working knowledge of applicable centralized office operations, general filing, supporting daily work order processing, updating required preventative maintenance logs, vendor dispatching/coordination.  problem resolution.  Focus on delivering positive customer service. Familiarity with fast paced business office operations is required.

Special Skills

Required:  Computer skills -MS Office Suite (all) intermediate – advanced level. Working knowledge of Visio and MS Project.

 

Preferred: Required intermediate skillset in a business accounting platform (Lawson, Yardi, SAP, etc.…)

Other 

Required: Detail oriented; Excellent organizational skills a must. Excellent communication both verbal and written, ability to work independently, demonstrated team player with strong interpersonal skills with various levels management

Preferred: Ideal candidate will have a strong problem resolution skillset. Previous experience in the commercial business sector is a priority. (Real Estate sector and healthcare environment desired but not required.
